Employee Offboarding
When an employee leaves, the offboarding records the return of each device, its condition, and makes the devices available again. Nothing is lost: the history of who had each device stays on the device.
Starting an offboarding
- Open Staff Management › Employee Offboarding.
- Select the employee. An offboarding requires a confirmed onboarding: the devices to return are those of the onboarding.
- The Offboarding Procedure page opens with the list of devices assigned to the employee.
If an offboarding is already in progress for the employee, it opens that one.
Recording the returns
For each device the employee gives back, click return and choose its Device condition:
| Condition | Use it when |
|---|---|
| Good | The device works and can be reassigned. |
| Damaged | The device has physical damage. |
| Defective | The device does not work properly. |
| To Evaluate | IT has to check it. |
Add notes about the return if needed and confirm. The return date is recorded.
Completing the offboarding
- Write any final information in Offboarding Notes (IT).
- Optionally enter the Employee personal email: a personal, non-company address that receives the report of the offboarding, since the company mailbox is usually closed when the person leaves.
- Click Save and Complete Offboarding.
When the offboarding is completed:
- the returned devices move to the Parked status, ready to be reassigned;
- they are no longer assigned to the employee;
- the report is sent to the personal email, if entered;
- the offboarding becomes Completed, with the name of who completed it and when.
The devices afterwards
A parked laptop is often wiped and removed from Microsoft Intune. If it stays out of Intune for a while, migrate it to an extra device to keep its history: see When a Device Leaves Intune. When it is enrolled again for a new employee, its data comes back to the Intune device automatically.
