# Equipment Change

An employee who stays with the company still changes equipment: a new laptop, an extra monitor, a phone given back, a broken headset. **Equipment Change** records what IT hands over and what it takes back in a single procedure, confirmed by the employee with one email.

## Creating a change

1. Open the employee's page from **Staff Management** › **Assignment Status**.
2. Click **Equipment Change** and confirm.

The button is available when the employee has no other open procedure and has not been offboarded.

## Handing over devices

In **Add Device**, search and add the devices and Inventory assets the employee receives, with the same rules as the [onboarding](https://wiki.cyberguard.srl/dim/staff-management/onboarding.md#adding-devices): an Intune device must already have the employee as primary user, an extra device or an asset must not belong to someone else. They appear under **Delivered**.

## Taking back devices

Click **Return** at the beginning of the row of a device or Inventory asset the employee gives back, and choose:

| Field | Values |
| --- | --- |
| **Device condition** | **Excellent**, **Good**, **Worn**, **Damaged**. |
| **Destination** | **Parked**, ready for the next person, or **Decommissioned**. *Damaged* proposes *Decommissioned*. |

The return is applied to the device immediately and the device appears under **Returned**. **Remove from procedure** on a row undoes the changes made to that device; deleting the draft undoes them all.

Write any information for the employee in **IT Notes (change)**.

## Sending to the employee

Click **Confirm and Send Email**. The email and the confirmation page show two tables, **Devices received** and **Devices returned**; the employee signs and confirms as for the [onboarding](https://wiki.cyberguard.srl/dim/staff-management/onboarding.md#sending-to-the-employee). The confirmed change produces a PDF record and appears in the [procedure history](https://wiki.cyberguard.srl/dim/staff-management/onboarding.md#procedure-history).

## Intune and the status in the portal

For a returned Intune device only the status changes: the primary user in Intune stays the same until you change it there. What counts in the portal is the status: a parked, decommissioned or sold device is no longer part of the employee's equipment, even if Intune still links it to the employee. The row shows *In Intune it is still assigned to …: change the primary user in Intune.*, and the employee's page lists these devices under *Still assigned in Intune, not part of the equipment*.

## Permissions

The same permission as the onboarding, **Device Assignment Onboarding** (see [Users & Permissions](https://wiki.cyberguard.srl/dim/administration/users-and-permissions.md)).
