# Operational Lease

With an operational lease, each device has a contract that starts and ends on fixed dates. Missing the end date usually costs money: extra rent, penalties, or a device returned in a hurry. Device Inventory Manager keeps track of every contract and tells you in time.

## Rental data

A device is considered rented when it has a **Rental Company**. The other fields are the **Rental Contract** number, the **Purchase Date** (start of the contract) and the **Rental Period** in months. The expiry date is the purchase date plus the period.

Fill them in on the device page (see [Editing Device Fields](https://wiki.cyberguard.srl/dim/devices/editing-device-fields.md#rental)) or, for a whole delivery, import them from the leasing company's file (see [Import](https://wiki.cyberguard.srl/dim/import-export/import.md)). The list of rental companies is managed by Inside Technologies: ask support to add yours if it is missing.

## The Operational Lease tab

Open **Rentals / Assets** › **Operational Lease**.

| Element | Content |
| --- | --- |
| **Counters** | Total devices, on lease, assets, inactive. |
| **Leased Devices**, **Rental Companies**, **Asset Devices**, **Device Status** | How the devices are split by lease, leasing company, asset flag and lifecycle status. |
| **Rental Expiry Schedule** | Contracts expiring month by month over the next 12 months. |
| **Processor Age**, **CPU Production Year**, **RAM Distribution**, **Device Type** | How old and how powerful the rented devices are. |
| **Rental Expirations** | The devices whose contract expires in the chosen **Period** (next 3, 6 or 12 months). |

## Before a contract ends

When a contract is close to its end, you usually decide for each device whether to return it, redeem it or extend the contract. Useful information:

- **Processor Age** and **RAM Distribution**: old processors and little memory are good reasons to return a device rather than keep it;
- the [Fleet Assessment](https://wiki.cyberguard.srl/dim/rentals-and-assets/fleet-assessment.md): a score and a recommended action for each device;
- the warranty expiry, shown in the General tab.

When the device leaves the fleet, update its **Status**: **Sold** if redeemed and sold, **Decommissioned** if scrapped. If it goes back to the leasing company and leaves Microsoft Intune, migrate it to an extra device to keep its history (see [When a Device Leaves Intune](https://wiki.cyberguard.srl/dim/devices/device-leaves-intune.md)).

## Being warned

- The **Alerts** of the [Dashboard](https://wiki.cyberguard.srl/dim/getting-started/dashboard.md) list rental contracts that expire in the next 45 days.
- [Email Notifications](https://wiki.cyberguard.srl/dim/administration/email-notifications.md) can send a periodic summary of expiring contracts.
- The **Operational Rental** export lists all rentals with their deadlines (see [Export](https://wiki.cyberguard.srl/dim/import-export/export.md)).
